How to Access the Inbox for a Specific WhatsApp Number in Pabbly Chatflow

In Pabbly Chatflow, you can add multiple WhatsApp numbers and manage their messages from a unified platform. To ensure smooth operations, you can access the inbox of a particular number and switch between numbers as needed. Let’s dive deeper into how this works:

What Happens After Adding WhatsApp Numbers?​

Once you add WhatsApp numbers, they are listed in the Dashboard Table with the following details:

1. Date/Status:
   • Shows when the number was added.
   • Displays the status of the number (e.g., Active, Inactive, or Demo Number).
     
2. WhatsApp Numbers:
   • Displays the added WhatsApp numbers along with their corresponding Phone Number IDs.
     
3. Webhook URL:
   • Displays the unique Webhook URL for receiving messages for each number.
     
4. Actions:
   • This column provides buttons to access or switch between WhatsApp numbers.
     

Action Buttons: Understanding "Access Inbox" and "Accessing"​

1. Access Inbox (Blue Button):
   • This button allows you to switch to and access the inbox of a specific WhatsApp number.
   • Clicking this button activates the corresponding WhatsApp number.
     
2. Accessing (Green Button):
   • This indicates that the particular WhatsApp number is currently active, and you are already viewing its inbox.
     
     
     

Step-by-Step Guide to Access a WhatsApp Number's Inbox​

Step 1: Locate the Added WhatsApp Numbers​

• Go to the Dashboard in Pabbly Chatflow.
• In the table, you will see all the WhatsApp numbers you’ve added, along with their status and action buttons.

Step 2: Access the Inbox of a Particular Number​

1. Identify the WhatsApp number whose inbox you wish to view.
2. Click the Access Inbox (Blue Button)for that number.
   • This action will activate the selected number.
   • The button will now change to Accessing (Green Button).
   • The inbox for the selected WhatsApp number will now be displayed, allowing you to manage messages for that number.

Step 3: Manage the Inbox​

• Once you access the inbox of a specific number, you can:
  • View all incoming and outgoing messages.
  • Reply to messages in real-time.
  • Mark conversations as resolved, unread, or assign them to team members (if applicable).

Step 4: Switch Between Numbers​

• If you need to manage messages for another WhatsApp number:
  1. Find the desired number in the table.
  2. Click Access Inbox (Blue Button) for that number.
  3. This will deactivate the current number and activate the new one.
  4. The newly selected number will now show the Accessing (Green Button), indicating that its inbox is active.

How This System Works​

1. One Active Number at a Time:
   • Only one WhatsApp number can be active at a time. The active number is highlighted with the Accessing (Green Button).
     
2. Real-Time Switching:
   • Switching between numbers is instant and seamless. You can switch as often as needed without losing any data.

Example Scenario​

Let’s say you have added two WhatsApp numbers:

1. +1 555-189-1580 (Primary Business Number)
2. +1 123-456-789 (Demo Number for Testing)

• Initially, the +1 555-189-1580 is active (indicated by the Accessing (Green Button)).
• To view the inbox for +1 123-456-789, simply click the Access Inbox (Blue Button) for that number.
• The system will instantly activate +1 123-456-789, changing its button to Accessing (Green Button) and deactivating the previous number.
