need help with form subbmition

workflow
1. User enters name in a form and submits it
2. We verify the name against a list
3. if name is not present in list we add the name to the list and we forward it to next step and send a whats app msg success
4. if the name is already in the list then we say below the form submit button " Name Already Exixts" and do not forward the name to next step and send a whats app msg failed

Please elaborate a bit more on the applications involved in this workflow, such as which form you are using in the trigger step and which application the list you are referring to is in.

I am making a website where user gets trial access for a service.

User enters a username and gets 3 days access
The website makes collects the userme and forward it to papply via webhook.
After which it should trigger a verification

1. If the username is not in a list of previously accessed user name then we give 3 days access vis a api call to my server ( server is setup and ready ) and add the user name to a list and send a whats app msg”Thankyou”
2. If the username is present in the list of previously accessed user name then we send a whats app msg “You have already acces trial”
